Create a document index your family can understand
A clear index is often more useful than a pile of unexplained files.
Choose simple groups
Group your documents into identity, home, financial, care and other personal records. Use familiar descriptions. The aim is to help an authorised person find the right original, not to create a complicated filing system.
Add the exact location
Say where the original is stored and how the location can be identified. Include a folder name or cabinet label when useful. Keep sensitive access codes out of the index itself.
Mark the current version
If several versions exist, note which one is current and when you last checked it. Do not destroy formal documents without appropriate advice. A digital planning note does not replace a signed original.
